General Terms and Conditions
The present General Terms and Conditions regulate the relations between the Conference Organizer (BioMed X GmbH) and the Participants.
Please review carefully the latest version of the General Terms and Conditions prior to registering. They represent an agreement between you and the Organizer
I. Basic Definitions and Terms of the Agreement
Upon the interpretation and application of the present General Terms and Conditions the used herein basic definitions and terms shall have the following meaning:
Organizer: BioMed X GmbH
Conference: XSEED CON 2018, May 3 and 4, 2018 in Halle02, Zollhofgarten, Heidelberg, Germany
Participant: any physical or judicial body that has filled out a registration form for participation, available on the Website.
Website: The conference website (www.xseed-conference.com) allowing the Participants to receive official information about the conference and to register for it online.
Content: all information created, uploaded, added, submitted, or posted to the Website, including, but not limited to text, video and audio materials, written posts and comments, photographs, images, graphics, URLs, etc. which are made accessible on or through the Website.
Partner companies: those sponsors and organizations who support the conference.
II. Online Registration
In order to register for the conference, the Participants must complete the online registration form, available at the conference website.
The Organizer reserves the right to not accept Participants who have entered wrong, false or insufficient data. Participants who enter clearly and systematically false data shall be deleted from the system. In such cases, the agreement is automatically terminated.
To guarantee the early registration discount registrations must be received by February 15, 2018.
Online registration will close on April 30, 2018, 15:00 CET, after which all registrations will be handled on site, where an extra 100 EUR onsite registration fee will be applicable.
III. Participant’s Registration Fee and Payment
The registration fee is indicated on the Website, and the amount due is based on the prices as quoted on the Website at the moment of registration.
VAT charges apply for companies registered within the European Union (EU) without a valid VAT number and when billing to an individual person.
The VAT will be calculated on top of the fee based on your billing address and VAT number. After successfully entering the data, the registered Entrant will immediately have to enter payment details and will receive a confirmation email and invoice.
The registration shall be considered valid only after confirmation of the payment which shall be made within the terms stated in the confirmation for registration.
IV. Cancellation policy
If a conflict arises that prohibits attendance at the event, please notify the Organizer (firstname.lastname@example.org) immediately per the instructions below.
Registration cancellations must be sent 30 days before the conference, by April 3, 2018, to receive a refund (minus a 10% administration charge).
After April 3, 2018, no refunds will be issued. No refunds or credits towards future events will be granted, however, a paid registration is transferable to a replacement from your company.
For participants whose poster has been accepted for poster or oral presentation, cancellations will be dealt with by the evaluation committee.
V. Personal Data Protection
The Organizer collects data about Participants upon registration. Your Personal Data is personally identifiable information submitted by you with the purpose of registering on the Website.
By entering your data, you agree to have your personal data collected and processed by us and you consent to provide accurate and truthful information.
The Organizer shall not publicly disclose any personal information of the Participants registered for the conference. The Organizer reserves the right to provide some of the Participant’s information to speakers, sponsors and partners. Personal data will only be disclosed if required by Law Enforcement Authorities.
The organizer also uses the information collected from you to help resolve issues you may have relating to the Website or the conference. We may use your personal information to communicate with you, for record keeping purposes, and in aggregate (anonymously) for market research purposes, to track activity on our site, to publish trends and/or to improve usefulness and content.
We do not sell, trade or rent your personal information to other parties.
The organizer or the organizer’s agents take photographs and videos (“Images”) of typical scenes of the event and event-related functions, some of which may feature identifiable attendees going about their business. These Images are made available for view on the organizer’s website, or may be used in marketing material. The organizer will never use without your express permission Images of you that clearly suggest a specific business interaction, or are frivolous in nature.
The organizer may disclose your user Information when required by law or in the good faith belief that such action is necessary in order to conform to the edicts of the law or to comply with a legal process. The organizer may also disclose your information if reasonably necessary to protect the organizer’s rights, property, staff or business operations or to obtain legal advice
Authors retain copyright on abstracts and posters presented at the Conference. Inquiries for permission to reuse an abstract or poster should go to the authors at their stated affiliations.
By submitting your abstract to the Conference, you are transferring the right to the Organizer to publish the abstract within the Conference program.
VII. Liability Limitation
The Organizer bears no liability for any indirect or consequential losses occurred as a result of the Participant’s participation in the Conference.
In case of termination of the agreement due to various reasons, the Organizer shall bear no liability for any damages caused to or benefits forgone on behalf of the Participant or third parties occurred as a result of the cancellation of the Participant’s registration.
The Organizer shall not be responsible for refunding the amounts already paid by the Participant in case of occurrence of force majeure circumstances, such as earthquake, natural calamities, war, threat of a terrorist act, and other circumstances due to reasons beyond the control of the Organizer.
VIII. Changes to the General Terms & Conditions
The Organizer reserves the right to make changes to the present General Terms and Conditions at any time, publishing in a timely manner such changes on the Website.
